Client portal & client emails

Let clients watch the value you deliver

Renewals are lost in silence — the client stops seeing what they pay for and starts hearing from your competitor. Give each client a login of their own, and every approved report, patrol visit and visitor entry becomes the case for renewing. It's free, and it's unlimited.

What clients see

Each client gets logins scoped to their own sites, read-only: approved incident and daily activity reports, patrol-visit reports from every drive-by, the visitor log, and documents you've shared with them. A property manager with two buildings sees both; nobody sees anyone else's.

  • Client logins are free and unlimited — they never count as seats
  • A read-only slice of the same in the Command app for the client who wants it on their phone
  • Site-level logins for the on-site contact who should only see one building

What they never see

Chat, scheduling, guard locations, other clients, and — unless you decide otherwise per client — anything that hasn't been approved. Approval in your review workflow is the gate. Addendums marked internal stay internal. The portal is transparency on your terms.

Clients who never log in still hear from you

Not every property manager wants another login. Per client, turn on a daily or weekly activity digest — sent at the hour you choose in their time zone — with approved reports, tours completed and missed, patrol visits, visitors, dispatch calls and response targets met, parking enforcement, and guard coverage hours per site. Turn on incident notices and the client is emailed the moment an incident report at their property is approved, with a link to the full report.

Invoices go out the same way, PDF attached, from the invoice itself. Every email is logged on the client, so “we never got it” has an answer.

  • Recipients are per client — the contact email and portal users by default, or any list you type
  • Approval, not submission, triggers the incident email: the office keeps editorial control
  • Property managers can maintain their own resident vehicle list for parking enforcement

Why it wins contracts

A client who can open a portal and see last night's three drive-bys with photos, the visitor who was turned away at 02:10, and the incident report with the police number attached doesn't need to be sold on the renewal. The prospect who sees it in your pitch already knows the incumbent can't match it.

Questions owners ask

What does the portal cost?

Nothing. Only enabled guards and supervisors are billable seats; client and office logins are free.

Can I turn it off for one client?

Just don't invite them. Portal access is per client, and what they see is scoped per site.

Can clients see unapproved reports?

Not by default. There is a per-client override if a client has asked for real-time visibility and you're comfortable with it.
