Invoice every client from the hours you already verified
The time clock already knows who worked where and for how long, and the patrol log already knows every visit. Watchbill turns that into an invoice per client per billing period — a draft you can adjust, sent with the PDF attached, paid when the money lands — so month-end stops being a spreadsheet exercise.
Free 30-day trial with no card required. $7/guard per month, everything included.
Rates live on the client, not in a spreadsheet
Set an hourly rate and a patrol-visit rate on each client, override either on a site that's priced differently, and set your company defaults once: invoice numbering, payment terms, tax rate, billing period (monthly, twice a month, every two weeks or weekly) and a remit-to line for the footer. That's the whole setup.
Everything else is already recorded: the verified hours from the time clock and the completed stops from vehicle patrols.
- Hourly rate and patrol-visit rate per client; per-site overrides
- Tax, terms, billing period and PO number per client when the contract says so
- A site with hours but no rate still gets a line — priced at zero, with a warning — so nothing is silently dropped
New invoice: pick the client, read the preview, create the draft
Step through billing periods or type any dates. The preview shows one line per site for hours and one per site for patrol visits, subtotal, tax and total — and the warnings a bookkeeper needs before sending: sessions still flagged for review, sessions still open, and any sent invoice that already covers part of the period.
Hours come from the same engine as the payroll export, so the client is billed for exactly the minutes your guards were paid for. Each line keeps its per-day breakdown; the PDF prints it as an appendix.
Draft, send, get paid
Edit dates, PO number, notes and tax; change any line; add manual lines for equipment, callouts or event coverage; rebuild the hours and visit lines from the records again if something was corrected. Mark sent locks the lines and starts the clock on the terms — or just click Email: the PDF goes to the client's billing address with your message, and the draft is marked sent on the way out.
Record payments as they arrive, partial or full; reaching the total marks it paid. Void keeps a mistaken invoice on record and out of the totals. Clients with a portal login see their sent and paid invoices with the PDF, never drafts.
- Invoice numbers are never reused — a deleted draft still consumes its number
- Sent invoices can't be edited; corrections are a void and reissue, or a credit line on the next one
- Every status change and payment is in the audit trail
Questions owners ask
Does it bill overtime at a premium?
Not automatically. Every hour bills at the site's rate; add a manual line for a negotiated uplift. Overtime and holiday bill rates are on the list, but most contracts we see bill a flat hourly rate.
Can it collect payment online?
Not yet. Payments are recorded by hand — check, ACH, card through your own processor. The invoice list and PDFs are the hand-off to your bookkeeping; accounting sync is on the roadmap.
What does the client see?
If they have a portal login: their own sent and paid invoices with the PDF. If they don't: the emailed PDF. Never a draft, never a void.
Is this the same as the Watchbill subscription?
No. "Billing" in Watchbill is what you pay us. "Invoicing" is what you charge your clients.
